What type of personal information do we hold about you?

SUKA holds the following personal information about our members:

Name;
Physical Address;
Contact Number;
Nationality (if provided);
Email Address (if available);
Place of study (for students);
Year of completion of study (for students).

SUKA does NOT retain any information about member’s bank account details.

Your personal information will never be passed to third parties without your consent unless we are required to do so by law.

Where did the personal information on our database come from?

SUKA will hold your personal information if you have applied to join SUKA or have applied to be included in our Keep In Touch database. Your personal data information will have been copied from your application form or from any other medium provided by you and inserted into our Membership Database and/or Keep In Touch Database. This is the lawful basis for SUKA to hold and process your personal data.

How do we use your personal data?

If you are on our database we will continue to send you occasional emails with our newsletter, announcements, information on events and meetings. If you would like to stop receiving emails from SUKA, please contact SUKA’s Secretary (ilikesuka@gmail.com). Where appropriate, we may provide information (e.g., name, email address and profession) to third parties (e.g. government agencies) for funding purposes. Members will receive their membership cards in the post based on address held on our database. When a member resigns from SUKA his/her personal data will be removed from SUKA’s database as soon as possible but within one month at the latest.  However, the ex-member may opt to remain on our database in order to stay in touch.

Subject Access Requests

If you would like to know what personal data we hold on you please contact SUKA’s Membership Secretary (ilikesuka@gmail.com) and we will inform you of the personal data that we hold on you as soon as possible, but at the latest within one month. The information will be sent to the email address or physical address that we hold for you on our database.

How do we use keep your personal data secure?

SUKA’s database is kept by an externally hosted service provider. If the database is ever downloaded onto an Executive Committee Member’s or Appointed Adviser’s computer for processing it will be uploaded onto the external server immediately after the processing has taken place and no copy will be retained on the Executive Committee Member’s or Appointed Adviser’s computer. If, in exceptional circumstances, the database, or a copy of the database, needs to be retained on an Executive Committee Member’s or Appointed Adviser’s computer, it will be kept in an encrypted form.
